5th Grade End-of-year Events
Plan, market, and implement the year end events for our 5th graders. This includes a kickball game with staff, the recognition ceremony, the 5th grade party, and the 5th grade gift to the school.
Camp Hanes Coordinator
Market the Camp Hanes experience to 5th grade families. Recruit parent volunteers to serve as chaperones. Prepare and collect necessary paperwork (Medical and Emergency Information). Collect funds. Serve as liaison between Camp Hanes Director and school. Schedule transportation. Assist School Counselor and ESL teacher with scholarships for families requesting them. Work with 5th grade team to establish schedules and procedures for departure and arrival.
Time Commitment: 5 hours per week, mid-September – mid-November. Workload can be divided between 2 people or a small committee.
Celebrate Cotswold Coordinator
Plan, market, and implement our annual spring festival. Recruit and manage sub-committee chairs. Suggested sub-committees include Amusements, Games, Set-up/Clean-up, Food, Volunteers, Fundraising, and Promotions. Organization and planning skills are especially helpful. Extensive documentation has been maintained, which makes this somewhat of a turnkey project.
Time Commitment: Planning typically begins in December/January with the event happening in May. Time commitment varies depending on number of sub-committee chairs, but weekly or bi-weekly meetings are recommended the couple of months leading up to the event. Additional hours are typically needed the week of the event to finalize staging and other preparations.
Daddy-Daughter Dance Coordinator
Plans, publicizes, recruits volunteers, decorates, etc. for the Daddy Daughter dance. Schedules photographer; cleans up afterwards as well.
Time Commitment: 2-4 hours a week January-April; 2 full days the week of dance.
Mother-Son Outing Coordinator
Plan, market, and execute our annual Mother/Son Outing. The 2011 event was called Son and Mama Sportsarama and was held at Sports Connection Ballantyne. The event was for 3 hours and included bowling; laser tag; “jump-n-play”; $5 game card; ride on either bumper cars, flight simulation, mad motion, or the climbing wall. Ticket price was $20/mother-son pair and $11 for each additional child. Food was not included. Previous events included a Charlotte Knights game and bowling.
Time Commitment: 20-40 hours total, December – April
Open House Coordinator
- 3 main events that host prospective families to our school, for tours and presentations.
- Conducted during the Open Houses and throughout the school year.
Beginners’ Day and Summer Playdates Coordinator
- Spring and Summer events that welcome our new families and gather the Ks together over the summer for some play time
- Tracks all the contact information for our new incoming families – thank you letters go after every OH.
Time Commitment: 10-15 hours per event.
Phil Morgan Potter Coordinator
Responsible for assisting art teacher with logistics of hosting internationally-known NC potter. Duties also include assisting students in preparing pottery for firing, some clean up and display of Mr. Morgan’s pottery. Arrangement of food and beverages for Mr. Potter and his assistants.
Time Commitment: 1 to 3 hours over the two-day course of Mr. Morgan’s visit.
PE Field Day Coordinator
Work with PE teacher to plan Field Day. Recruit volunteers and schedule as needed during Field Day. Thank volunteers afterwards.
Time Commitment: 6 hours of prep work, 4-6 hours/day for 2 days during Field Day.
Safe Routes to School Coordinator
Serve as liaison between Safe Routes organization and the PTA. Schedule Walk to School Days and work so that our children and families are protected as much as possible.
Time Commitment: 4-6 walks per year, 2-4 hours/month.
Meet and Eat Coordinator
Obtains cash bank prior to event. Orders/Purchases/Delivers all necessary supplies, food, and drink for PTA meetings. Arranges for volunteers to help.
Time Commitment: 2-5 hours per meeting; 4 meetings per year.
